This policy explains how The Donor Scout (A. van der Veen V.O.F., KvK 870031922, Schierstins 20, 8604 BX Sneek, The Netherlands) collects, uses and protects your personal information. We are the controller of the information you submit to us.
1. What we collect
- Contact details: name, email address, phone number, address and date of birth.
- Application information: your answers about education, lifestyle, reproductive and medical history, family medical history, and the photos and documents you upload.
- SMS consent: whether you agreed to receive text messages, and when.
- Technical data: basic data your browser sends when you visit the website, such as IP address and pages visited.
2. How we use it
- To review your application against partner agencies' eligibility criteria.
- To refer your application to a partner fertility agency.
- To contact you about your application by email, phone or, if you opted in, text message.
- To keep records required for our business and to meet legal obligations.
We use your information because you applied and asked us to consider you as an egg donor, and, for health information and text messages, because you gave your consent. You can withdraw consent at any time; this does not affect processing that already took place.
3. Who we share it with
We share your application only with partner fertility agencies that may work with you as a donor. Before an agency accepts you, it sees your profile without your name or contact details. Your contact details are shared with one agency only once it accepts you. We never sell your personal information.
4. How we protect it
Applications are stored in a secure portal with encrypted connections, two-factor sign-in, access logging and role-based access. Only The Donor Scout and the agencies you are referred to can see your information.
5. Service providers
We use these providers to run our services. They process information only on our instructions:
- Google Cloud: hosting and storage of the donor portal
- FormCan: application forms
- Brevo: email delivery
- MXroute: email delivery
- Twilio: text message delivery
Some providers are based in the United States. Where information leaves the European Economic Area, we rely on appropriate safeguards such as the EU Standard Contractual Clauses.
6. Text messages (SMS)
If you opt in on our application form, we use your mobile number only to send you text messages about your application. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. Information may be shared with subcontractors that support our services, such as our text message provider.
7. How long we keep it
We keep your application for as long as it is useful for referral, and no longer than 3 years after your last contact with us, unless the law requires us to keep it longer. You can ask us to delete it earlier.
8. Your rights
You can ask to see, correct, delete or receive a copy of your information, object to or limit its use, and withdraw consent. Email info@thedonorscout.com. You can also complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or your local authority.
9. Changes
We may update this policy. The date at the top shows the latest version.
